Search "Perfex CRM price" and you'll get the same answer everywhere: $65, one-time, own it forever. That answer is wrong twice. The price on CodeCanyon today is $89 — most of the reviews quoting $65 haven't been updated in years — and more importantly, the license was never the real number. A Perfex install that's actually running your business carries hosting, modules, support renewals, and almost always some customization. Depending on how far you take it, the honest total for year one lands anywhere from about $200 to $8,000+.

We can break this down credibly because we don't just recommend Perfex — we run our agency on a Perfex-based platform we built ourselves, with two modules we authored in production. We've paid every one of these line items. Here's what each of them really costs, what drives the range, and the two places where budgets quietly blow up.

A solo consultant who installs it on shared hosting and uses it stock can genuinely be done for under $200 in year one. A 10-seat services business with a couple of modules and one custom integration should budget $1,500–$4,000. An agency converting Perfex into a client-facing or white-label platform is in $5,000+ territory.   • Regular license covers one installation for you or one client — including a CRM your business runs internally. This is the license almost everyone needs.
  • Extended license is required when the installation is part of something you charge end users for — if you're building a paid, hosted product on top of Perfex, this is your license.

Both include 6 months of author support; extending to 12 months costs about $31.50 at checkout. You don't need active support to keep using the software or to receive updates — but you do need it to open support tickets, and given that Perfex shipped its latest release in March 2026 and moves versions several times a year, having support during your setup window is worth the money.

One thing the one-time price genuinely delivers: no per-seat fees, ever. Staff member #2 and staff member #40 cost the same — nothing. That single fact drives most of the long-term math below.

Hosting: the cost everyone forgets to count

Perfex is self-hosted PHP + MySQL, which means the "one-time price" comes with a permanent monthly companion. Realistic tiers:

  • Shared hosting ($5–$10/month) — genuinely fine for 1–5 users with modest data. Perfex is not a heavy application. If you already pay for hosting with spare capacity, your marginal cost is zero.
  • VPS ($12–$40/month) — the right call from ~5 users up, or the moment you attach client portals, heavy email tracking, or big attachment volumes. You gain the ability to tune PHP workers and cron reliability, which Perfex's automations (recurring invoices, reminders, email queues) depend on.
  • Managed VPS ($30–$80/month) — pay this if nobody on your team wants to be responsible for server patches. Be honest with yourself here; an unpatched server underneath a CRM full of client data is not a savings.

Annualized: $60–$480/year for almost everyone. Also budget for an SSL certificate ($0 with Let's Encrypt) and offsite backups — many hosts include them; if yours doesn't, $5/month buys you the thing you'll be gladdest you had.

Modules: where the ecosystem is priced honestly — mostly

Typical module pricing runs $15–$70 one-time per module, with the same 6-month support terms as the core product. The big-ticket exceptions run into the hundreds: multi-tenancy/SaaS conversions, full accounting suites, and the more ambitious AI add-ons. Most businesses end up with two to five modules, so $50–$300 is a sane planning number, $500 if you're module-hungry.

  1. Modules are the main thing that breaks during core updates. Every module you add is a compatibility bet on its author keeping pace with Perfex releases. Before buying, check the module's last updated date against the current Perfex version — an abandoned module is a future migration cost wearing a $29 price tag.

Perfex's worst case roughly equals HubSpot's certain case — and Perfex's typical case (light customization) comes in at a third of it. Grow to 20 seats and the SaaS columns double while the Perfex column doesn't move. That's the entire argument for one-time-license CRMs, and it's a good one.

When Perfex is not the cheap option

The math flips in specific, predictable situations, and pretending otherwise sells software, not outcomes:

  • 1–3 users with simple needs. Zoho or HubSpot's free tiers cost $0 and require no server. Perfex can't beat free-with-no-admin.
  • Nobody can own the server. If updates and backups will genuinely never happen, a neglected self-hosted CRM full of client data is a liability, not an asset.
  • Marketing automation is the actual requirement. Perfex's automation is operational (invoices, reminders, tickets), not a marketing suite. If you need multi-step nurture campaigns, you'll fight the tool.
  • You need deep native integrations with a specific ecosystem you already live in — sometimes the SaaS product's integration is the product.

If any of those describe you, take the SaaS subscription without guilt. The total-cost advantage above only pays out if the software actually fits.

  • Solo / stock install: ~$150–$250 year one, ~$100/year after. Just do it yourself.
  • Small team, light modules: ~$500–$1,500 year one. The main risk is module quality — buy updated, supported modules only.
